MacKenzie King are working to support a successful and growing client based in the centre of Ipswich to recruit a Billing Specialist. The successful Billing Specialist will be someone who has recently held a similar position in either Sales Ledger or Billing and is either looking for a new business environment or an opportunity for growth. The Billing Specialist will be working within a small team to oversee the accurate and timely processing of billing functions for the company.

Key tasks and responsibilities

  • Oversee and manage the billing process, ensuring accurate invoicing for services rendered to clients or internal and external stakeholders
  • Work closely with other internal functions or clients to gather necessary billing information.
  • Ensure timely and accurate preparation of client invoices
  • Address client billing inquiries and resolve any billing discrepancies or disputes in a professional and efficient manner
  • Maintain accurate and up-to-date records

Compliance and Reporting

  • Ensure billing compliance with all relevant legislations and regulations, including tax laws, and benefits administration and good practice
  • Ensure that all necessary documents, including quarterly and year-end reports are filed accurately and on time
  • Prepare and deliver regular reports to management
  • Act as the main point of contact for internal and external audits
  • Ensure secure handling and confidentiality of all billing data, protecting employee and client information

Record Keeping and Data Management

  • Maintain accurate, confidential records of billing, and payment histories
  • Ensure that billing data is securely stored and that all records are accessible in accordance with company policies and legal requirements
  • Handle sensitive data such as Social Security numbers, tax filings, and payment information with the highest level of confidentiality

Qualifications and experience

  • Excellent interpersonal, verbal and written communication skills
  • Ability to manage multiple and varied tasks and prioritise workloads whilst able to process high volumes of transactions while maintaining accuracy and attention to detail
  • Strong analytical skills with the ability to interpret financial data
  • Ability to develop, maintain and build effective working relationship with a variety of internal and external clients, candidates and other stakeholders
  • Proven ability of using Microsoft Office products
  • Ability to handle sensitive and confidential information with discretion
  • Strong working knowledge of Billing processes, tax regulations, and compliance requirements
  • Significant experience as a Billing, accounts receivable, or a related accounting role
  • Knowledge of industry-specific billing practices and requirements (e.g., healthcare, consulting, or service-based industries)
  • Proven significant working experience with billing software and invoicing systems
  • Working knowledge of billing legislations and best practices
  • Experience in billing for services or products across both B2B and B2C environments
